The Office of Development and Alumni Relations (DAR) seeks an organized and collaborative Project Coordinator/Senior Project Coordinator to join a fast-paced team that ensures the success of DAR in key functional areas. This position will serve as the main point of contact for the Senior Associate Vice President for Presidential and University Philanthropy and the principal giving stewardship, gift planning, university development, corporate relations and foundation relations teams. The incumbent will manage projects for the office and provide development and event support. Additionally, this position is responsible for presidential donor acknowledgements and other special executive communications, as well as agendas and briefings. Duties also include managing the calendar for the SAVP and handling and tracking timely fiscal transactions for the office.

In this role, you will:
• Prepare creative, accurate, and high-level acknowledgements and other special presidential and executive correspondence, track communications in database
• Plan, manage and support events working in collaboration with other DAR team members, including supporting the internal DAR steering committee of the A-10 men's basketball tournament
• Serve as the liaison between teams, departments, schools/units, and marketing/communication for presidential outreach, regional events, and salon dinners
• Draft event briefings in collaboration with the SAVP
• Track division projects and goals; maintain accurate records
• Provide administrative, calendar, fiscal and travel support in the areas of principal giving, university development, gift planning, corporate relations, and foundation relations
• Support tracking and analysis of top donors through spreadsheets and in other systems
• Perform all fiscal activities for office, including purchase card reconciliation, process travel authorizations and reimbursements

Required qualifications:

• Ability to handle multiple projects at one time and pay great attention to details
• Previous experience supporting an executive or senior administrator in a fast-paced, highly complex environment
• Outstanding organizational and time management skills
• Ability to interact with executive level administrators at all levels of internal and external constituencies
• Proven record of teamwork and collaboration, including the ability to establish strong networks within a complex organization
• Mastery of project management software, Microsoft Office, and database applications
• Ability to travel, work evenings and weekends on occasion
• Demonstrated experience working in and fostering a diverse faculty, staff and student environment or commitment to do so as a university professional at VCU
Preferred qualifications:
• 2-5 years of experience supporting an executive or senior administrator
• Experience working in an institution of higher education or a non-profit organization
• Experience working with and writing high level executive correspondence and communications
• Experience donor database systems
• Experience with event management systems
• Previous experience working as a project manager or in project management
