Part-Time Administrative Assistant (Hearst Center for the Arts)
The City of Cedar Falls is accepting application materials for a part-time Administrative Assistant to work 29 hrs./wk. at the Hearst Center for the Arts. Typical work hours will be Monday-Friday, but occasional weekend availability for special events or coverage may be required. The starting hourly rate will be $19.182, and the position is eligible for annual performance-based increases and part-time benefits.
This position is part of an administrative team that creatively supports the customer service, administrative/clerical, special projects, and financial recordkeeping needs for primarily the Hearst Center. Duties will include being responsible for facility opening and closure procedures, serving as the lead contact for and providing friendly customer service to the public, managing memberships, recording daily attendance, creating mass mailings for fundraising campaigns, monitoring valuable displayed artwork, and tracking statistics related to the Friends of the Hearst. Additionally, this position processes employee payroll and payments from the public for Hearst services and memberships; reconciles accounts payable (procurement cards); prepares council bills for payment, and records grant expenditures. The position also manages more complex financial records for the Cedar Falls Community Foundation and grant funding received. Duties include word processing, spreadsheet creation/maintenance, data entry, payroll entry, filing, responding to public requests, and providing in-person and phone customer service.
High school diploma or equivalent supplemented with specialized training in clerical/secretarial, financial, accounting or bookkeeping procedures and practices required (indicate training in the “Specialized Training” section of the application form). Candidates must also have at least one-year experience of a combination of secretarial/administrative/clerical and bookkeeping with significant public contact, including experience with computer data entry, word processing, and spreadsheet applications. Strong organizational skills and attention to detail preferred. Post-offer, pre-employment background, physical, and drug screen required for selected candidate.
